Winter HAF Sessions
4-11 years old

4-11 sessions run from 09:30-14:30
All sessions are based at Monkwearmouth Academy (SR6 8LG). Meeting point is at the rotunda, which is the hexagonal shaped building, separate to the main school on the left of the site.
We are based in the rotunda at Monkwearmouth Academy. The adress is below:

When you enter the site through the main gates follow the road/ path to the left. The rotunda is the hexagonal shaped building that is separate to the school on the left hand side.
Please use the parking spaces provided.
There is only one road and there is traffic coming both in and out on that road. Please be mindful of that and give way to other drivers.
The speed limit is 5mph on the school grounds.
The academy is also a no smoking, vaping and dogs site.

4-11 HAF Programme
Registration does not open until 09:15
Nobody will be able to enter the building before this time.
A member of staff will be at the door to greet you, please do not leave your child until somebody is there to register them.
Please do not enter the building as an adult unless you are invited by staff to do so.
If you need to give us any information such as a different emergency contact number please do so at this time.
Your child will then be shown where they can store their coats and bags by a member of staff and they can go in and enjoy the actvities.
As we navigate through the heart of the British winter, we continue to cherish the value of outdoor activities, weather permitting. While the colder months can be challenging, spending time outside remains a vital and enjoyable part of our day. However, this does require a bit of preparation to ensure your child stays warm and comfortable.
What to Bring: Essential Winter Gear
Cold-Weather Clothing: Please ensure your child comes equipped with appropriate winter clothing. This includes coats, hats, scarves, and gloves to keep them cosy and warm during outdoor activities.
Old Clothes: Given our array of activities, including those involving mud, glitter, glue, and paint, there's a high likelihood of clothes getting dirty. We recommend sending your child in outfits that are durable and that you don't mind getting a bit messy.
Additional Recommendations:
Spare Shoes/Wellies: If you have them, a spare pair of shoes or wellies can be very handy. Our outdoor areas can get muddy, and having a change of footwear ensures your child can enjoy the activities without worrying about wet or muddy shoes.
We offer a wide range of actvities from sports and games to arts and crafts.
Even in the winter, where possible, we like to spend some time outdoors, as it is very positive for the mental and physical health.
We have listed our usual actvities below, however this list is by no means exhaustive or what happens at every holiday camp.

- Games (snake in the grass, Toystory, zombie tag)
- Cooking and baking
- Arts and crafts
- Nature Walks
- Scavenger Hunts
- Board Game Leagues
- Fun Challenges.
Children and young people who attend always have an input to what we do and where possible, there is at least 2 choices of activity.
This is the rough running order of the day.
09:15-09:30- Drop off/Registration
09:30-10:00-Free time to play board games, pool and colour. This is to give everybody the chance to get in and settled before we start actvities.
10:00-12:00- Activities
12:15- 13:00- Lunch
13:00-14:30- Activities
14:30- Pick Up
This is just a guide, times may differ slightly depending on what actvities we are doing.

All staff deliver on the actvities all day and so for your childs safety and enjoyment we need to be completly focussed on them.
If you need to get a message to us, text these numbers with your childs name and the message. We will pick texts up throughout the day.

If you need to pick child(ren) up early can you let us know at registration.
Please do not enter the building unless invited to do so by a member of staff.
We will bring your child(ren) to you.
It is appreciated that you are patient while waiting for your child(ren). Staff have up to 30 children to all send home at the same time and their safety is our biggest concern.
The safeguarding of your child(ren) is our ultimate priority.
No Packed Lunches and refreshments need to be brought along on the day
These sessions are part of the HAF (Healthy Activity and Food Programme) which means they are free for children who meet the following criteria:
- Live in Sunderland
- Are of school age (between 4 and 16 years old)
- Are eligible for means-tested free school meals during term time
- Are in a family struggling with the cost of living
- Have a special educational need or disability (up to age 25)
These sessions are free thanks to funding from the Department of Education and Together for Children Sunderland.

All of our staff are DBS checked and have the required safeguarding training with first aiders at every session.
We have a team of people that include, highly qualified and very experienced sports coaches, youth workers and community workers and a school cook. Many of us have worked in schools and with children and young people for a number of years.
We have been delivering holiday actvities in different forms for over a decade and have been a part of the HAF programme since it was introduced in 2020.
If you no longer need your space or need to change it to another day try and do this as far in advance as possible so it gives others the opportunity to book.

Our office opening hours (term time) are 10:30-18:30 Monday to Friday and some Saturday mornings.
School Holidays we open at 08:30 and close at 18:30
We are a small team and due to the nature of our roles there are times when we are out in the community, in schools and/or unavailable to answer calls, texts and emails, so please be patient if you do need to send us a message. We will get back to you as soon as we are able.
It has come to our attention recently that more and more children have been bringing their phone to holiday camps.
We have no objections to children bringing their phones if it is necessary, For example they are going somewhere after the holiday actvities, with another family member or a friend and need their phone to contact their parent/carer.
However, it must stay switched off in their bag. If we see if during the camp it will be confiscated until the end of the day. This is for safeguarding reasons and for the protection of children at the holiday camp.
We accept no responsibility for the loss or damage to a phone if it is brought into camp.

Cancellation of Camps
If staff are off sick we may have to cancel camps at short notice. Every effort will be made to ensure camps run everyday, as we understand many parents use our services for childcare, however, it is important that there is the correct ratio of qualified adults in place for both your child’s and our staff's safety.
The sessions are very popular and we have a long waiting list so if you know you don't need your spaces please let us know so we can offer it to other people.
Our offices will be closed for Christmas from 18:30 on Thursday 21st December 2023. We will not re-open until Wednesday 3rd January 2024 at 08:30.
Staff will not be answering calls, texts or emails during this time so they can have quality time with our families.
